Telecalling software for hospitals · enquiry to appointment to follow-up

A patient who enquired about a health checkup on Monday and was called on Thursday has already booked at the hospital next door. With Telecalling Software, the telecalling software for hospitals and clinics, every enquiry is called the same day, every appointment is confirmed on WhatsApp, and the follow-up after discharge rings the desk on the right date.

Telecalling Software is telecalling software for hospitals, multi-speciality clinics, diagnostic centres and dental and eye chains: enquiries from the website, Google Business Profile, Practo-style listings, health camps and referrals; a front desk or a small tele-team confirming OPD appointments, selling checkup packages and calling discharged patients back for reviews. Each patient enquiry is a record with department, doctor, appointment date and package; confirmations and directions go out on WhatsApp; review reminders ring on the date the doctor set; and the marketing head sees appointments and packages per caller, per department and per source.

Telecalling Software for hospitals and clinics: the caller's queue on an Android phone

What does telecalling software for hospitals and clinics do?

Telecalling software for hospitals and clinics turns website, listing and camp enquiries into records with department, doctor and appointment date, confirms appointments and sends directions on WhatsApp, rings the desk when a discharged patient's review or a package renewal is due, and shows appointments and packages sold per caller, department and source. Telecalling Software does this from the caller's own SIM, with backup exclusions and permissions to keep patient data where it belongs.

The reminders that fired this morning are today's OPD appointments. A session calls each patient from the reminder; a two-tap sheet marks Confirmed or Rescheduled and the WhatsApp confirmation goes out with the map link.

03 · A worked example

A 120-bed multi-speciality hospital in Nagpur

A composite of teams we have set up, with the numbers rounded. Names of businesses are left out on purpose.

A hospital in Nagpur runs a four-person tele-team under the marketing head. Their work is appointment confirmation for eleven OPD departments, health checkup packages sold to corporate and camp leads, and review calls to discharged patients. Enquiries arrive from the website, a Google listing, a hospital-finder app and monthly health camps, roughly 70 a day.

Before Telecalling Software, appointment lists were printed from the hospital system each morning and calls were ticked off on paper; camp registrations lived in a spreadsheet nobody owned; and review calls happened only when a doctor asked. The printed list was replaced by a daily import with the appointment date set as a reminder per patient, and the camp sheet was connected as a lead source, so a registration reaches a caller within minutes of the camp desk typing it.

Every call ends with a stage and the fields a hospital needs: department, doctor, slot, package and source. The confirmation with the doctor's name and the map link goes out on WhatsApp from the same screen. Discharge lists are imported weekly with the review date as a reminder, so the review call rings the caller instead of depending on a doctor's memory.

The marketing head compares two numbers now: appointments booked per source, which showed the hospital-finder app converting at half the rate of the Google listing, and packages sold per camp, which decided which camps to repeat.

The objection we hear most

“Patient data is sensitive. Where does it go and who can see it?”

Records stay on the caller's phone unless backup is switched on, and then they sync over an encrypted connection to the hospital's own account, where permissions decide which user can see, edit or export which records. Any SIM or number can be excluded from backup, no customer data is sold or used for advertising, and call audio is never recorded. Keep clinical notes in the hospital system; Telecalling Software needs only the department, the slot and the outcome.

What these teams used before

Hospital tele-teams usually arrive from printed appointment lists, a camp spreadsheet, a WhatsApp group with the front desk, and a hospital information system that the callers can read but cannot call from.

05 · Questions

Asked by hospitals and clinics teams.

Does it connect to our hospital information system?

Through an export or the API. Most hospitals export the day's appointments or the week's discharges as a sheet, which is imported with the date as a reminder. If your system can post to a REST API, each new appointment becomes a record by itself.

Can appointment reminders go out on WhatsApp automatically?

Yes. Attach a template with the doctor, the time and a map link to the Appointment booked stage or to the reminder. With a WhatsApp Business API it sends by itself; without one, it opens ready to send.

Can we keep departments separate?

Yes. Use a department field on every record and assign callers per department, or set departments up as branches. The dashboard filters by either.

Is call recording available for quality checks?

No. Current Android versions do not allow third-party apps to record calls, so Telecalling Software does not offer it. It records who called, when, for how long, the stage and the note, which is what most hospitals audit.

Can patients calling back see which department they spoke to?

The caller can: when a saved patient rings, the call screen shows the record with the department, the doctor and the last note, even over the lock screen. The patient sees the caller's normal mobile number.

Does it work for a single-doctor clinic?

Yes. One receptionist uses it alone: import the appointment list, confirm on WhatsApp, set review reminders, call camp leads. The price is the same ₹159 per user per month.

Can we sell health checkup packages through it?

Yes. A package is a client record with the package name, amount paid, balance and renewal date, so an annual checkup renewal rings the caller a month before it is due and the dashboard shows packages sold per caller.

What does it cost for a hospital tele-team?

₹159 per user per month on the yearly plan, GST extra, every feature included, unlimited records. Four callers and a marketing head is five users. The first 3 days are free.
