Telecaller job description · a template, not an advert

Telecaller job description by Telecalling Software: describe the job, not the person.

A telecaller job description should describe the job, not the kind of person you hope turns up. Most posted telecaller descriptions are a list of adjectives, which attracts people who interview well and call badly. This one names the calls, the number, what must be written down and how the role is judged. Copy it, cut what does not apply, and post it. What comes after the post, from the phone screen to the first week, is in how to hire telecallers.

What is a telecaller job description?

A telecaller job description should say four things plainly: the calls the person will make and to whom, the number they are accountable for, what they must record after every call, and who they report to. Most posted descriptions list personal qualities instead, which attracts applicants who interview well and call badly. The template below is written to be copied, changed and posted.

01 · The templateResponsibilities

Telecaller job description template: roles and responsibilities

Eight lines. Delete any that your role genuinely does not include rather than keeping them to sound thorough; an applicant who reads a duty they never perform trusts the rest of the post less.

  • Call the leads assigned each day from the list, in the order set by when the enquiry arrived.
  • Explain the product or service briefly and answer the common questions without reading from a page.
  • Record the outcome of every call, with a short note and the next action, before starting the next call.
  • Set and keep follow-ups, including calling back at the exact time promised to the customer.
  • Send the agreed information on WhatsApp or email immediately after the call, not at the end of the day.
  • Book the next step, a meeting, a site visit, a demo or a payment, with a specific day and time.
  • Keep customer details accurate: name, requirement, budget where relevant, and preferred language.
  • Escalate complaints and anything outside your authority to the team leader the same day.

02 · How the role is measuredFive KRAs worth using

Telecaller KRA: put the measures in the posting, not just the review

An applicant who knows how they will be judged either self-selects out or arrives ready. Both outcomes are better than discovering the target in month two.

  1. Connected conversations per day

Not dials. Forty to sixty connects is a realistic full day on a warm list; set yours from your own data rather than a number copied from an advertisement.

  2. Outcome logged on every connected call

Target one hundred percent, and measure it. This is the single number that predicts whether the rest of the pipeline is real.

  3. Follow-ups kept on the promised day

Of the callbacks promised last week, how many happened on the day. Ninety percent is achievable and most teams sit near half.

  4. Conversion to the next step

Meetings, visits or demos booked per hundred connects. The honest measure of calling quality, and the one worth coaching.

  5. Quality of the record

Spot-check five notes a week. Could another caller pick up the conversation from what is written? If not, nothing else on this list is trustworthy.

03 · RequirementsIncluding what not to ask for

Essential

  • Clear speech in the languages your customers actually use, which in most Indian teams means Hindi and English mixed
  • Comfortable making sixty or more calls a day and hearing no repeatedly
  • Basic smartphone literacy: an app, a list, WhatsApp
  • The discipline to write the note before moving to the next call

Useful, not essential

  • Previous telecalling, retail or customer service experience
  • Familiarity with your particular industry vocabulary
  • Typing speed, only if your process involves a computer
  • A second regional language matching your customer base

Do not ask for

  • A degree, unless the role genuinely needs one; it filters out good callers for no reason
  • Own laptop, when the job is done on a phone
  • Years of experience for an entry role, when two weeks of coaching does more
04 · One practical note

Say what they will call with

The most common omission in a telecaller posting is the phone. Most Indian teams call from the caller's own Android handset and SIM, because a familiar mobile number gets answered where an unknown landline does not. State it, and state whether you provide the SIM, reimburse the bill, or expect the caller to cover it.

Say what they will record with too. "You will log every call in our telecalling app" sets an expectation that a spreadsheet never does, and it is the duty most likely to be ignored if it is not mentioned before the first day. Telecalling Software is one such app, and the calling side of it costs nothing, which makes it easy to have set up before a new caller starts.

Telecaller job description FAQ

What is a telecaller job description?

It is the posted summary of what a telecaller will do, what they are measured on and what they need to start. A good one names the calls, the daily number, the recording expected after each call and the reporting line. A weak one lists adjectives such as energetic and confident, which tell an applicant nothing about the actual day.

What are the roles and responsibilities of a telecaller?

Calling the assigned list, explaining the offer, answering common objections, recording the outcome and a note after every call, keeping follow-ups on the promised day, sending information on WhatsApp straight after the conversation, and booking the next step with a specific day and time. In smaller teams they also handle inbound enquiries and renewal reminders.

What is a telecalling executive?

The same job under a slightly grander title, used in India for a telecaller in a sales team, often with a target attached. Some companies use executive for someone who also handles their own follow-ups and reports rather than only dialling a handed-down list, but there is no standard distinction.

What qualifications does a telecaller need?

Very few, and most job posts over-specify. Clear speech in the customer's language, the patience to make many calls, and enough smartphone literacy to use an app are the real requirements. Asking for a degree on an entry-level calling role filters out capable people for no measurable benefit.

What should a telecaller be measured on?

Connected conversations rather than dials, the percentage of calls with an outcome recorded, follow-ups kept on the promised day, and next steps booked per hundred connects. Dials alone measure effort; those four measure work, and the second one predicts whether your pipeline is real.

How many calls should a telecaller make per day?

Dialling by hand, sixty to a hundred is a full day. With an auto dialer the same person reaches two to three times that because the gap between calls disappears. Set the target on connects rather than dials, since dials can be inflated by calling numbers nobody expects to answer.

What salary should I offer a telecaller in India?

It varies widely by city, industry and whether the role carries a target, so quoting one figure would mislead. Look at current listings for your city and role on the job boards, then decide whether you are paying a fixed amount or a smaller fixed amount plus an incentive on next steps booked. State the structure in the posting; vagueness costs you applicants.

Should the job description mention a script?

Yes, and describe it honestly: a structure with an opening, two questions, the common objections and a closing ask, not a page to read aloud. Applicants who have been made to read scripts word for word elsewhere will want to know, and the good ones prefer the structure.

What makes a telecaller leave within a month?

Usually one of three things: a list of numbers that were never really enquiries, a target set on dials so the job becomes noise, or no feedback until the first warning. The first is a lead problem, the second a management problem, and neither is fixed by hiring differently.

Do telecallers need their own phone?

In most Indian small businesses, yes, and most teams call from the caller's own Android handset and SIM, which is also why customers answer. Say so in the posting, and say whether the company provides a SIM, reimburses the bill or expects the caller to absorb it. Leaving it unstated causes an argument in week two.

What tools does a telecaller use day to day?

A phone, a list, and something to record what happened. Small teams start with a spreadsheet and move to a telecalling app once the list outgrows memory. The app dials the list, shows the customer's record when the phone rings, takes the outcome in a couple of taps and rings the follow-up on the day.

Can I copy this job description?

Yes, that is what it is for. Take the responsibilities and the measures, cut anything your role does not include, add your industry vocabulary and your city, and post it. It is more useful to an applicant than a list of personal qualities, and it gives you something concrete to review against after three months.

How do I write a telecaller job description that attracts good candidates?

Be specific about the list and the target, because that is what an experienced caller reads for. Say where the leads come from, how many calls a day is normal, and what the incentive pays on. Adjectives about dynamic personalities attract volume; concrete details attract people who have done the job.

Should the job description mention the salary?

Yes, at least the base as a monthly figure. Leaving it out costs you applications from exactly the candidates who have options, and it wastes your own time interviewing people whose expectation you could never meet. Vague ranges with no in-hand figure are read as a warning sign.

What should not go in a telecaller job description?

Requirements nobody checks and nobody needs: a degree for a role that does not use one, fluent English for a team calling in Hindi, and a target described as unlimited earning potential. Each of those narrows the applicant pool without improving it, and the last one is read as commission-only.
