Travel Agency Telecalling Script: what to say, from the first hello to the follow-up.

Holiday enquiries come in bursts, from Instagram at 11 pm and from the website on Sunday, and the traveller has usually sent the same message to three agencies. This script is written for consultants at travel agencies and tour operators in India selling domestic and international packages, group departures and honeymoons by phone and WhatsApp.

What is a good travel agency telecalling script?

A travel agency telecalling script asks four things on the first call: where, when, how many, and what kind of trip, then promises an itinerary on WhatsApp within the hour and books a call to walk through it. The second call handles the price, the advance and the changes. Travellers enquire with several agencies; the one whose itinerary arrives first, and whose caller remembered the child's age, gets the booking.

Opening: the trip they asked about

When: Within the hour of the enquiry, even on Sunday.

Why it works: Name the destination and the channel. "Four things" tells the traveller the call is short and about them.

    Hi, this is Meera from [Agency], about the Kerala enquiry you sent on Instagram last night. I would rather ask you four things than send a standard package. Have you got two minutes?

    Sure.

  3. Caller

    Which dates are you looking at, and are those fixed or can they move a few days?

Four questions, then stop

When: Straight after the opening.

Why it works: Dates, travellers, style, budget. Ask the child's age; it changes the hotel, the car and the price, and remembering it on the next call wins the booking.

    Who is travelling: adults, and any children, with their ages?

  2. Customer

    Two adults and our daughter, she is six.

  3. Caller

    Lovely. Is this more a relaxed trip, houseboat and beach, or do you want to cover Munnar and the hills as well? And roughly what budget per person are you comfortable with, so I do not send you a five-star plan if you wanted a good three-star one?

The promise and the time

When: After the fourth answer. Do not describe the itinerary on this call.

Why it works: Repeat their four answers back. Promise the itinerary with a time. Book the walk-through call.

  1. Caller

    Six nights, relaxed, three of you, around ₹25,000 a person: I will send an itinerary on this WhatsApp within the hour with the hotels named and the total, not a starting-from price.

    Okay.

  3. Caller

    Then I will call you tomorrow at 7 pm to go through it and change whatever you like. Does 7 work, or is lunchtime easier?

The walk-through call

When: The time you promised, itinerary already sent.

Why it works: Ask about the plan, not the decision. Change one thing on the call and send the new total immediately.

  1. Caller

    Meera from [Agency], calling at 7 as promised about the Kerala plan. Have you had a look at the six nights?

  2. Customer

    Yes. The houseboat night looks good but the hotel in Munnar seems basic.

  3. Caller

    I can move you to the resort with the tea-garden view for ₹2,400 more per person; children under eight stay free there, so for your daughter it changes nothing. Shall I update it and send the revised total in five minutes?

The advance and the balance

When: When the traveller says the plan works.

Why it works: State the advance as a percentage and a rupee figure, the balance date, and the cancellation terms before they ask twice.

    To hold the hotels at this price I need 30 percent, ₹22,500, and the balance 15 days before you travel. I will send the payment link and the booking confirmation on WhatsApp; the vouchers come within 48 hours of the advance.

    Up to 30 days before travel, the advance minus ₹2,000 comes back; inside 30 days it depends on the hotel, and I will send the exact terms with the link so you have them in writing.

What travel agencies customers say, and what to answer

“Another agency quoted less for the same trip.”
Send me their itinerary and I will compare hotel for hotel. Cheaper usually means a different hotel category, a shared transfer or breakfast not included. If it is the same on those three, I will match it or tell you to take theirs.
“We will book directly online.”
You can, and for one hotel it is easy. For six nights, three hotels, a houseboat and a driver, one person answering the phone when a flight is late is what you are paying us ₹1,500 a person for. Try us on this trip and decide for the next.
“The dates are not fixed yet.”
Then I will price two sets of dates, the ones you mentioned and a week later, and you will see how much the price moves. Hotels in December fill six weeks out, so knowing the difference helps you fix the dates.
“We want to think about it.”
Of course. The price in the itinerary holds for seven days; after that the hotels re-quote. I will message on Thursday with any change and call Saturday unless you tell me another day.
“Is the advance refundable?”
Yes, up to 30 days before travel minus ₹2,000 in processing, and I will send that in writing with the link. Inside 30 days the hotel's policy applies, which I will also send, so there is nothing you have not seen.

How fast should a travel enquiry be called?

Within the hour, including evenings and Sundays, because that is when people plan holidays and message three agencies at once. The first itinerary with named hotels usually wins.

Should I quote a price on the first call?

No. Ask the four questions and promise a full itinerary with a total within the hour. A price on the first call is a guess, and a guess is what the traveller compares you on.

How much advance should I ask for?

Enough to hold the hotels, usually 25 to 30 percent, stated as a rupee figure, with the balance due 15 days before travel and the cancellation terms sent in writing with the link.

What do I say when they want to book online themselves?

Agree that one hotel is easy online, then name what you do that a website does not: one phone number for the whole trip. Offer to prove it on this booking.

How do I fill a group departure by phone?

Message everyone who enquired about that destination last season on WhatsApp with the dates and the price, then call the replies the same day with this script's four questions. Past enquiries convert far better than new ads.
